HFSP DATA PRIVACY POLICY

We, in Hoegh Fleet Services Phils.,Inc.(HFSP), respects the privacy of everyone, especially seafarers who are employed and those who intends to apply either physically in the office or by visiting the company’s website.

Privacy Notice and Consent

Seafarers and visitors shall be informed regarding the way HFSP would use their personal data. By submitting personal data to us, it is deemed as having given permission and consent– where necessary and appropriate – for usage and disclosures referred to in this policy.

Scope and coverage

This privacy policy applies to the collection, submission, usage, disclosure and disposal of personal information of seafarers, both employed and those intending to apply for available vacancies. HFSP complies with all existing and applicable provisions of the Data Privacy Act of 2012.

Responsibility for control and processing

The personal data is controlled by HFSP and is partly processed through a Service Level Agreement (SLA) with Hoegh Autoliners Regional Operating Head Quarters (HAROHQ). Both HFSP and HAROHQ are located in the same office building.

Purposes of the collection of personal data

We collect and use personal information of seafarers including that of their relevant next of kin, dependents, allottees and beneficiaries to:

  • process the deployment of seafarers onboard vessels under the principals of HFSP
  • administer or otherwise carry out our obligations in relation to any agreements the seafarers have with HFSP
  • administer or otherwise carry out our obligations in relation to the manning agreements the principals have with HFSP
  • respond to queries or issues that may arise during the seafarers’ employment with HFSP

The collected personal information will be shared or disclosed to relevant third parties such as government agencies and private institutions, both within and outside of the Philippines, as provided for by existing regulations of POEA, STCW, Flag states and MLC 2006.

HFSP assures seafarers that their information shall not be used beyond the primary purpose in carrying out our obligations under existing agreements and regulations.

Accuracy of information

We aim to keep our information seafarers including that of their relevant next of kin, dependents, allottees and beneficiaries as accurate as possible. If the seafarer would like to review, change or delete the details that were supplied to us, please contact us as set out below

Security of personal data

We have implemented appropriate technology and policies with the objective of protecting personal data from unauthorized access and improper use. We will update these measures as new technology becomes available, as appropriate.
